Using the Workflow Editor

The workflow Editor is a tool used to visually design and create automated workflows. It offers an easy-to-use interface for creating and modifying workflows, offering a simpler experience than the former 'Model Designer' in the Lucy app.

Key Features in the Workflow Editor

In the workflow editor, users have the ability to create complex workflows by interconnecting different blocks.

In the workflow editor, every workflow creation process begins with a trigger block, followed by one or more action blocks.

Here are the key features in the Workflow Editor:

1. Trigger Blocks

Trigger Blocks initiate the workflow process. They act as the starting point and are designed to respond to specific events or conditions. For example, a trigger block can be set up to activate when a new email is received, a form is submitted.

When you construct a workflow using the Workflow Editor, you'll encounter four distinct types of trigger blocks.

  1. Cron Trigger Blocks

  2. Message Trigger Block

  3. Email Trigger Block

  4. Database Trigger Blocks

Cron Trigger Blocks

Cron triggers allow you to schedule workflows to run at specific intervals. For instance, it's possible to set up a workflow to execute on an hourly basis. Cron triggers enable scheduled execution of tasks, enhancing automation and efficiency.

These are the available Cron Triggers in Lucy:

Message Trigger Block

A message trigger is used to start workflows in response to messages from popular messaging applications e.g., Telegram. For example, you can set up a workflow to run whenever a message is received from a bot.

Email Trigger Block

Email trigger is used to start workflows when an email is sent by someone.

Database Trigger Blocks

Database triggers start workflows when changes happen in a database. For example, they can activate a process when new information is added to a table.

2. Action Blocks

Action Blocks are the steps that take place after a workflow has been triggered. Each action block performs a specific task, such as sending an email, updating a database record. You can string together multiple action blocks to create complex automations tailored to your needs.

This image showcases the action blocks that Lucy offers. You can find these blocks quickly by entering the block name in the search box or by filtering them by category.

Accessing the Workflow Editor

The Workflow Editor can be launched to create a new workflow or to edit an existing one.

Accessing the Workflow Editor to Create a New Workflow

To access the workflow editor:

  1. On the Lucy app homepage, click the My Work tab on the left.

  2. All the folders you have created, as well as those created by others, will be listed.

  3. Click on the folder to open it.

  4. If you cannot locate the folder in the list, type in the folder name under Search Folders.

  5. From the search results, click on the folder.

  6. Inside your folder, click the Workflows tab.

  7. Click the + icon.

  8. This will launch the empty workflow editor where you can create your workflow.

Accessing the Workflow Editor to Edit/View a Workflow

After you create a workflow, you can save it. You can then edit or view saved workflows later in the workflow editor.

To access the workflow editor:

  1. On the Lucy app homepage, click the My Work tab on the left.

  2. All the folders you have created, as well as those created by others, will be listed.

  3. Click on the folder to open it.

  4. If you cannot locate the folder in the list, type in the folder name under Search Folders.

  5. From the search results, click on the folder.

  6. In the folder, click the Workflows tab. All the workflows created in the folder will be listed.

  7. Click on the specific Workflow to open it on the Workflow Editor page.

  8. If there is a list of workflows, use the search box to type in the workflow name to locate your workflow.

  9. On the search results, select the workflow and click on it.

  10. Your workflow will be opened on the workflow editor page.

Saving a Workflow

After creating your workflow, you might want to save it to go through it later.

To save a workflow:

  1. On the workflow editor page, enter a suitable name under Name for the workflow.

  2. Click Save.

  3. All your saved workflows will be listed under the Workflows tab within the respective folder.
