View Departments

This section explains how to view registered Departments in the Organization app.

Path

  • Organization Dashboard -->Departments tab OR

  • Settings icon --> View section --> Departments

View Department Details

To view registered Departments, follow the steps given:

  1. On the Departments search page, use the Search Departments box and the filter boxes on the Sidebar to filter specific records with keywords and given criteria.

  2. Click the icon on the top menu to view the column names of the search list.

  3. Click the Quick info icon next to a Department record to view key details on the department in a pop window.

  4. Click on the required Department name to go to its’ detail page.

Edit Department Details

This section details how to edit the selected department details.

  1. On the Departments search page, search and click on the required Department name to go to its’ detail page.

  2. Click the Department Details tab.

  3. Hover over the Department section and click the Edit icon that appears. Edit detail as required and click Save.

  4. Click the Sub Departments tab.

    1. Already configured Sub-Departments under the selected Department will be listed.

    2. To add a new sub Department, click the Add icon. Add New Sub Department configuration window will open.

    3. In the Name box, type a descriptive name for the Sub Department.

    4. Click Add.

    5. Added Sub Department will be listed.

    6. Repeat steps 4b-4d to add more Sub-Departments.

    7. Click on an added Sub Department Name to view a quick detail window on the selected. On the quick detail window, click the Department name to view the detail page of sub Department.

    8. Click the respective Delete icon of a Sub Department to delete the selected. Confirmation message will appear. Click OK to continue or Cancel to abort deletion.

  5. Click the Members tab.

    1. Registered Members under the selected Department will be listed.

    2. Click on a Member Name to view a quick detail window on the selected.

    3. In the quick detail window, click on the selected Member name to redirect to Member details page.

    4. To mark a Member as the Department Head, click the Mark as Department Head button of the respective Member record. This will mark the respective Member as the as Department Head and will be displayed under the Department Head section in the Department Details tab.

Delete a Department

To delete an existing Department, follow the steps given:

  1. On the Departments search page, search and click on the required Department name to go to its’ detail page.

  2. Click the Department Details tab.

  3. Click the Delete this Department link or Delete icon on the right Sidebar.

  4. Confirmation message will appear. Click Delete to continue or click on the message box to abort.

  5. If the Department is in use, a message box will appear stating that the Department is in use and cannot be deleted. For more information, refer to the Hide a Department section below.

Hide a Department

  1. If the Department which you want to delete is in use by the App, a message will appear stating that the Department is in use and cannot be deleted.

  2. Click Hide this Department instead to hide the respective Department record from the active search list. A notification will be visible on the Sidebar on the right, stating that the Department is currently hidden and the Department record will no longer be available for operations in the system.

Following Department related operations are found on Sidebar of the Department Detail Page.

Upload a Document

This feature allows uploading Documents (e.g., images/ videos/ other Documents) relevant to a specific Department.

To upload a Document:

  1. On the Departments search page, search and click on the required Department name to go to its’ detail page.

  2. Click the Department Details tab.

  3. Click the Upload a Document link or icon on the Sidebar.

  4. In the Document Upload window:

    1. Type a Description of the Document.

    2. Type Keywords to search for the Document.

    3. Select the File Type.

    4. Click the marked area to browse and select Document from the computer or simply drag and drop the file to the marked area.

    5. Click Upload. Selected file will be uploaded.

  5. To view uploaded Documents related to the Department:

    1. Click the Document icon in the top right side corner of the page header.

    2. Documents uploaded under the selected Department will be displayed in Documents window.

    3. Click the respective icon to download the Document.

View Parent Department

For Sub Departments, respective Parent Department will be displayed on the Sidebar.

To view the Parent Department:

  1. On the Departments search page, search and click on the required Department name to go to its’ detail page.

  2. Click the Department Details tab.

  3. In the Sidebar, go to Parent Department section.

  4. If the selected Department is a Sub Department, relevant Parent Department Name will be displayed under this section.

  5. Click on the Parent Department name to view a quick detail window. On the quick detail window, click the Department name to open respective Parent Department detail page.
