Manage Hidden Assets

Hidden Assets is used to view assets (in use) that are removed from the active Asset list to prevent from creating new activities with them. This allows users to make the hidden assets visible again as well.

View Hidden Assets

This section detail how to view hidden assets:

  1. Click the Settings icon and select Hidden Assets under Manage section. Hidden Assets Search page will be displayed.

  2. In the Search Hidden Assets box, type the name of the Hidden Asset that you want to search for. Or use the given search criteria. Matching record/records will be displayed.

    Search Filters

    Location: Search by the place where the Assets are located.

    Asset Group: Search by the Asset Group that the Asset belongs to

    Asset Category: Search by the Asset Category that the Asset belongs to.

    Attribute Group: Search by any Attribute Group of Asset

    Attributes: Search by any Attribute of Asset Operational Status: Search by the operational status of the Asset (Operational/Non-Operational or Any)

    Warranty Status: Search by the Warranty Status- whether the asset has warranty (Yes) or not (No).

    Show Only Movable Assets: If this check box is selected only Movable assets will be displayed.

  3. Generate Report function: Use to view the filtered results on a required format as a report. Under Report section on the Sidebar (under filters section), you can select a Format for the report (e.g. PDF, Word, Excel, Excel-Raw) and click Generate Report to view a report of the filtered Hidden Assets. The following columns will be displayed in report:

    Asset ID

    A unique name given to each Asset to identify the respective Asset in the system.

    Installed Location

    The place where Asset is installed/located

    Asset Category

    Asset Category that the Asset belongs to

    Operational Status

    Operational: If the asset is in use.

    Non-Operational: If the asset is currently not in use.

  4. Print QR Codes function: Used to view and print QR codes of the selected hidden assets.

    After filtering required hidden assets, click the Print QR Codes link on the Sidebar. This action will display QR codes for all the previously filtered hidden assets.

  5. Click on the Quick Info icon to view important details of the asset in a popup window.

  6. Click on the name of the required hidden Asset ID to go to its detailed page.

Make Hidden Assets Visible

This section describes how to make hidden Assets visible. After making an asset visible, the same will be displayed under Asset Search page.

  1. Click the Settings icon and select Hidden Assets under Manage section. Hidden Assets Search page will appear.

  2. Click on the Asset ID of the hidden asset to go to its detailed page.

  3. Click the link Make visible on the sidebar. The respective hidden asset will be visible on the Asset Search page. The banner displayed stating “This Asset is currently hidden” and the link named Make visible will not be displayed.

Manage Documents

Manage Documents: This is used to search and view uploaded documents in the Asset application. Usually Manage Documents operation will be carried out by the administrator.

Path Settings icon on the Asset Dashboard --> Manage section --> Documents

  1. Click the Settings icon and select Documents under Manage section. Asset Documents Search page will appear.

  2. Use the given search criteria to search for documents uploaded in the Asset app.

    Search Criteria

    Description

    Type

    Aspect to which the document is uploaded.

    Uploaded by

    Used to filter by the user who uploaded the document. Select the user from the list box or from the pinboard.

    File Type

    Used to filter the documents by their file type. E.g. Image, Video

    Uploaded Between…and

    Used to filter by the date range that the documents were uploaded.

    File Size

    Used to filter the documents by their file size. MB = Megabytes KB=Kilobytes B=Bytes

  3. From the search results, Click the respective Download icon of the desired record to download and open the document.

  4. To delete a document, click the respective Delete icon to the right.
